Plain-language version of how we handle your data, our use of AI agents, and cookies.

In short: we collect only what we need to talk to you and run our service, we tell you when you're speaking with an AI agent, we don't sell your data, and you can ask us to show or delete what we hold. The full detail is below.

1. Who we are

Scala Auxilio ([legal entity, SRL in formation], operating from the Netherlands) provides managed AI sales services. For questions about your data, contact petrusc@adsum-auxilio.com. [Appoint and name a data-protection contact / DPO if required.]

2. The data we collect

  • When you contact us — name, work email, company, website, and anything you write in the request form.
  • When you call our agent (Aria) — your phone number, the call audio, and a transcript of the conversation. See the AI & call-recording section below.
  • When you browse — essential technical data (e.g. to serve the page securely) and, only with your consent, analytics data about how the site is used.

3. Why we use it, and our legal basis

  • To respond to your request and arrange a call — on the basis of taking steps at your request prior to entering a contract, and our legitimate interest in responding to enquiries.
  • To operate and improve our AI agents — legitimate interest and/or consent, depending on context. [Confirm with counsel.]
  • Analytics cookies — only with your consent, which you can withdraw at any time.

4. AI agents & call recording

When you talk to Aria, you are talking to an AI voice agent, not a human. Calls may be recorded and transcribed so we can operate, quality-check, and improve the service.

We believe in being upfront about this:

  • Our agents identify themselves as AI at the start of a conversation.
  • Calls placed to, or received from, our demo number may be recorded and transcribed. If you don't want to be recorded, please don't continue the call, and contact us by email instead.
  • Recording and consent rules differ by country and by who initiates the call. We operate our agents to follow applicable consent requirements in the markets we run in. [This section in particular must be reviewed by counsel for each market — e.g. all-party-consent jurisdictions.]
  • Call audio and transcripts are processed by our voice infrastructure provider [Retell AI] and stored on our infrastructure [hosting provider / region]. We retain them for [retention period] and then delete or anonymise them.

5. Who we share data with

We don't sell your data. We share it only with service providers who help us run the business, under contract, including: voice/telephony infrastructure ([Retell AI]), hosting ([provider/region]), and our CRM/email tools ([list]). A current list of sub-processors is available on request. [Maintain and link a real sub-processor list.]

6. International transfers

Some providers may process data outside your country. Where that happens, we rely on appropriate safeguards (such as EU Standard Contractual Clauses). [Confirm per provider.]

7. How long we keep it

We keep enquiry data for as long as needed to follow up and for [period] afterwards; call recordings and transcripts for [period]; analytics data for [period]. [Set real retention periods.]

8. Your rights

Under the GDPR you can ask us to access, correct, delete, or port your data, to restrict or object to processing, and to withdraw consent at any time. To exercise any of these, email petrusc@adsum-auxilio.com. You also have the right to complain to your local data-protection authority (in the Netherlands, the Autoriteit Persoonsgegevens).

9. Cookies

We use a small number of essential cookies that are needed for the site to work and for your consent choice to be remembered. We use analytics cookies only if you accept them in the banner — nothing non-essential loads before then, and you can change your mind by clearing the choice in your browser.

  • Essential — consent preference storage. Always on. No third-party tracking.
  • Analytics (optional) — [tool name, once chosen]. Set only after you click "Accept analytics". [Add the specific cookies, provider, and durations once a tool is selected.]

10. Changes

We'll update this notice as the product and our providers evolve, and change the "last updated" date above.
